Your role with us
As a medical office assistant you will be a key part of a patient-centered clinic team. From the moment patients arrive, you'll help create a welcoming and efficient experience by assisting with scheduling, registration, and communication. Your work behind the scenes—verifying insurance, collecting co-pays, managing referrals, and preparing records—directly supports the care team and contributes to smooth clinic operations. It's a role that combines attention to detail, compassion, and professionalism, allowing you to make a real impact on both patient satisfaction and clinic success. What you'll do

Greet patients and visitors warmly, offering clear directions and support upon arrival.

Professionally handle all telephone communications, paging, and message taking with clarity and courtesy.

Schedule patient appointments and procedures efficiently while minimizing wait times and managing no-shows or late arrivals.

Complete accurate patient registration, including verifying demographics, insurance, and guarantor information.

Verify written physician orders and follow up to ensure appropriate documentation and compliance.

Confirm insurance eligibility and obtain required authorizations or referrals using designated systems.

Collect co-pays and balances, apply payments correctly, and coordinate with billing for financial assistance options.

Prepare, maintain, and retrieve patient records in compliance with HIPAA and clinic policies.

Communicate follow-up activities during check-out, including rescheduling or future instructions.

Enter provider charges accurately in Epic and assist with work queue assignments and scheduling template updates.
Required qualifications
- High school diploma or equivalent, or five years of experience in a healthcare setting.
Additional information
- Successful candidates will have exceptional computer skills, the ability to quickly master multiple computer programs, knowledge of business and office machines such as: fax, telephone, computer/printer, copier, and reception skills.
- Strong interpersonal skills and the ability and desire to work in a very busy, multidisciplinary setting are vital.
- Good clerical skills, including typing (60 wpm) and excellent telephone etiquette with good organizational and record-keeping skills are important for success.
- Preference will be given to candidates with previous outpatient medical clinic front office experience and/or EPIC system experience.
