As a medical office assistant in this clinic, play a key role in creating a welcoming and efficient experience for patients throughout their bariatric journey by coordinating scheduling, supporting front office operations and ensuring accurate registration and documentation.
Daily work supports continuity of care and a positive patient experience through clear communication, attention to detail and coordination with clinical teams and external partners. What you'll do
- Welcome patients and visitors with professionalism, provide clear directions and share information about programs and services.
- Manage phone and paging systems by screening calls, relaying messages and maintaining strong communication with staff and referring offices.
- Schedule patient visits and procedures efficiently while managing no-shows, late arrivals and maintaining a high level of customer service.
- Complete accurate patient registration and pre-registration by verifying identity, demographics, insurance and guarantor information.
- Verify physician orders, referrals and authorizations while ensuring accurate entry of diagnosis codes and documentation in Epic.
- Confirm insurance eligibility, support benefit verification and assist with required questionnaires and documentation.
- Collect payments, balance cash drawers and coordinate with billing and financial assistance resources to support patient needs.
- Coordinate referrals and follow up on outstanding services while communicating updates to clinical staff.
- Maintain patient records, ensure compliance with HIPAA and support medical record requests and documentation processes.
- Complete charge entry, manage work queues, update scheduling templates and support data collection for operational and performance needs.
Required qualifications

High school diploma or equivalent OR 5 years of experience in a healthcare setting.
Additional information
- Exceptional computer skills and the ability to quickly master multiple computer programs required .
- Knowledge of business and office machines such as fax, telephone, computer/printer, copier; reception skills required.
- Must have strong interpersonal skills and the ability and desire to work in a very busy, multidisciplinary setting.
- Must have good clerical skills, including typing (60 wpm) and excellent telephone etiquette and good organizational and record-keeping skills.
- Must maintain strict compliance with HIPAA privacy and security regulations.
- Previous outpatient medical clinic front office experience preferred.
- Previous EPIC experience a plus.
